NOTIFICATION AND CONSENT OF TREATMENT OF PERSONAL DATA

ACCORDING TO ART. 13 OF EU REGULATION GDPR (General Data Protection Regulation) – N. 679/2016 – 27 APRIL 2016

This notification is issued according to art. 13 of EU Regulation GDPR 2016/679 of April 27, 2016 on the protection of individuals with regard to the processing of personal data and in compliance with the legislation on the processing of personal data, as well as on the free movement of such data.

DeFINE  is a three year (2018 – 2021) collaborative project co-funded by the European Commission’s COSME programme which aims to support the fusion of cutting – edge technologies and innovation into the European fashion  and design industries.

DeFINE will organize an 8-month bespoke mentoring programme to help businesses develop innovative Fashion-Tech ideas into a reality.  If you’re interested in participating for the DeFINE Mentoring Programme, this is the opportunity to share your innovative business idea with us.

Your data will be processed according to GDPR 2016/679 and the DeFINE consortium declares that all information submitted in the Application for Mentoring Programme and exchanged afterwords is confidential and will not be disclosed to any third party outside the approved partnership and recipients mentioned in section 7.

4. Purposes of processing, legal basis, data categories and storage period

For the purposes of the application of European and national legislation on the matter (EU Regulation 679/2016, from now on Regulation), we inform you that your personal data or text that could contain personal data, that are:

will be used by DeFINE partners to understand if your idea is eligible for DeFINE project and by the Selection Committee to establish if your idea will be selected to take part to the DeFINE Mentoring Programme.

In particular, the following table details the purpose for each kind of personal data and storage period. The legal basis of the treatment is the consent (Article  6(1)(a) of the Regulation) for the successful execution and expected impact of the project.

This represents the current status at the best of our knowledge. Any modifications will be promptly communicated.

5. Nature of data provision

In general, failure to communicate and / or refusal to provide the personal data outlined above will make it impossible to submit the application for the DeFINE Mentoring Programme.

6. Method of the treatment and profiling

The processing carried out for the purposes indicated above related to selection process for DeFINE Mentoring Programme are managed digitally.

The personal data will be collected on the F6S platform under the responsability of INSTITUT FRANCAIS DE LA MODE.

Purpose  1,  2  and  3: All  data  will  be stored  in excel files in the project internal repository on box.com providing compliance with the Regulation and ISO privacy standard and accessible to DeFINE partners only. Additionally, data might be stored in storage facilities at partners premises complaint with the Regulation.

Purpose 1: Definition of eligibility. To each application for the DeFINE Mentoring Programme will be associated a primary contact of DeFINE consortium based on the location of the business. The primary contact will verify all data submitted and verify all the eligibility criteria for the application.  In case of doubts, the primary contact could ask the assistance of other DeFINE partners. Optionally he/she might contact the applicant to ask missing information that preclude the eligibility.

Purpose 2: Communication with the applicant. DeFINE primary contact will store data in the storage facilities of his/her premises complaint with the Regulation including excel files, email tools, skype or additional tools to facilitate the communication with applicant. Eligibility will be communicated to the applicant. If eligible, the applicants will be contacted and assisted to prepare a powerpoint presentation for the selection meeting.

Purpose 3: Selection of applicants by the AB members. Data of eligibile applications will be shared with the members of Advisory Boards. These will be used for scoring the applications and select the applications to enter the Mentoring Programme.

Profiling

Data profiling will be not applied.

7. Categories of recipients

For Purpose 1, 2, and 3 data may be shared by project participants. In relation to the purposes indicated above, data could be communicated to the following categories of recipients.

  • The Selection Committee (Advisory Board members)
  • EC representative persons (EC project officers, and EC project reviewers).
8. Data storage lifetime

As indicated in Table 1, for the protection of the rights of the data subjects, once the prescription terms have elapsed, the personal data will be deleted.

9. Transfer of data to Extra EU countries

Personal data will not be transferred or stored outside European Union or to those countries that will not provide an adequate security level.

10. Rights of the data subject

At any time, the data subject can ask the Data Controller for:

  • confirmation of the existence of her/his personal data;
  • access to her/his personal data and information relating thereto; the correction of inaccurate personal data or the integration of incomplete personal data; the erasure data (upon the occurrence of one of the conditions indicated in Article 17(1) of the Regulation and in compliance with the exceptions provided in paragraph 3 of the same Article); the limitation of the processing of her/his personal data (upon the use of one of the grounds indicated in Article 18(1) of the Regulation), the transformation into anonymous form or the blocking of personal data processed in violation of the law, including those that are not necessary conservation in relation to the purposes for which the personal data were collected or subsequently processed.

These rights can be exercised addressing to: privacy@polimi.it.

If the data subject considers that her/his rights have been violated by Data Controller and / or by a third party, she/he has the right to submit a complaint to the relevant supervisory authority for the protection of personal data and / or to another competent supervisory authority pursuant to the Regulation.

11. Consent for the use of personal data

I   freely and fully consent the treatment of my personal data accordingly to the purposes set in the above notification to the partners of DeFINE project acting jointly as Data Controller.

I understand that I have the rights to withdraw my consent at any time. The consent withdrawal does not prejudice the lawfulness of the data treatment based on consent before the withdrawal. The consent is revoked with the same ease with which it is granted.
